Dear advising and enrollment colleagues:
As part of our ongoing efforts to engage the IU community in our technology partnership with Stellic, Indiana University hosted two informational sessions for the IU community to learn more about our adoption of this student success technology suite.
In these sessions, we shared more about our partnership with Stellic and our vision for leveraging technology to support student success at IU and asked for your questions and feedback. These sessions were well attended by more than 500 participants and are available to view on IU’s Stellic Partnership web page.
Thanks to all for the great questions. We are adding these to the Stellic page FAQ as well. Check back often as we update the page regularly.

Dear advising and enrollment colleagues:
In my December update, we promised to share regular updates on the status of our implementation of IU’s new student success technology platform (Stellic). We are now at the point where we are involving our student success partners more deeply in the building, testing, and rollout of the platform.
IU now has its own version of Stellic ready for us to begin development, and we’re continuing to work with the Stellic team to populate the platform. This collaboration will ensure our version will have complete data and functionality before we begin building some test audits later this month.
I’d also like to remind you that two informational sessions are scheduled this month for you to learn more about our process. In these sessions, we’ll share more about our partnership with Stellic and vision for leveraging technology to support student success at IU. We’ll also share the progress we’ve made to date in implementing Stellic, our roadmap moving forward, and the roles each of us will play in making this partnership a success. The sessions will conclude with an opportunity for questions and feedback from the audience.

The latest on IU's student success technology implementation
Dear advising and enrollment colleagues,
I hope that your semester is ending well, and that you are looking forward to what I further hope is some rest and relaxation over the upcoming winter break. As our fall semester comes to a close, I wanted to update you about the status of our rollout of IU's new student success technology platform. As was forecast in my August letter to the advising community, we will now begin to involve our student success partners more deeply in the building, testing, and rollout of the platform and keep you and other stakeholders informed on our progress.
As you may have read, this new platform - designed by our vendor partner, Stellic - will meet the needs of our students by offering personalized, data-informed experiences. Students will build their degree plan, track their progress, and visualize the impact of decisions on their degree path inside the system. From a student support perspective, this platform allows academic advisors and others to holistically monitor progress, identify students who are not on track, and activate earlier interventions. A full listing of the features that will be available via Stellic can be found on our newly launched FAQ website, and on the Stellic website itself.
As we begin building out the modules, we know there are questions from our campus partners. Perhaps the biggest question we hear is “What existing tools will Stellic’s student success technology replace?”, along with wanting more specifics about the process for evaluation and adoption. As you know, we have multiple different IU-developed systems for academic planning, course registration, academic advising, and degree progress monitoring. While each independently does its job, they are not fully integrated with each other, nor are they easy to navigate. The powerful tools available via Stellic will help us streamline our student success technology.
In partnership with key academic advising leads, student success leaders, UITS partners, and you, we are now beginning the evaluation of our existing tools so we can identify those that will be replaced by Stellic. Currently, the following IU developed advising & registration related tools are in use:
To conduct our evaluation and adoption process in the most effective manner and to leverage the expertise of our full student success community, we have engaged key leaders in critical areas. To date, we have:
In addition, we are planning to host two virtual open meetings in January for any IU staff member who wishes to attend, to present the results of these first three steps and to obtain reactions and feedback from the advising community. More details about these meetings will come in the first week of January.
We also want to ensure the community stays engaged and updated on our progress. Last week we launched the new FAQ and progress site for our process. We also have weekly meetings scheduled with a large implementation advisory group. Finally, we will continue to leverage both our internal communication strategy and existing meetings with leadership and communities of practice to keep you informed and involved.
While we know any kind of shift in the use of technology platforms can be challenging, the integration of these tools together will help us be more effective and greatly benefit our students. Know that the Student Success team will also support you with training, support, and onboarding to this new way of working for and with our students. Dear academic advising colleagues,
Below is an email I sent earlier today to several of our enrollment-focused councils concerning the student success technology platform we’ve been assessing for many student-focused processes including degree audits, registration, degree maps, etc. I know many of you have been involved in this work – especially through the open demonstrations and subsequent feedback during the review process. I so appreciate your perspective, time, and involvement in helping us get to this point.
I also know this change will have significant impacts on current academic advising practices. Know that we are committed to working with this group to ensure your teams have everything they need to be successful. In the fall semester, we will convene an advising group to continue discussions about IU’s transition to Stellic and determine what additional functionality might be needed, and how these are leveraged by academic advising processes. We will also talk about what may need to shift regarding our processes that even better meet the needs of our students.

Dear student success colleagues,
Last year we embarked on a journey to discover how new and innovative technology could strengthen our student success efforts and better serve our students. This work was conducted through a close partnership between The Offices of the Vice President for Student Success (OVPSS) and Information Technology (OVPIT). Our focus over the last academic year has been on how to alleviate frustrations and confusion around degree mapping, registration, progress toward degree, and degree audit. Many of you participated with the over 400 stakeholders in evaluating formal proposals for a platform that could address these areas of need. As a result of that work, I am pleased to share that on August 9th, IU has signed a contract with Stellic.
This new platform meets the needs of our students by offering personalized, data-informed experiences. Students can build their degree plan, track their progress and visualize the impact of any decisions inside the system. They will build schedules and register for classes directly through a custom degree map that will display progress. Students can also perform a “what if” analysis to explore adding a minor, pursuing a certificate or even what it would look like if they change their major. They can do all of this through a modern and mobile-friendly interface.
From an administrative and advising perspective, this platform allows academic advisors to holistically monitor progress, including identifying students who are not on track in order to activate earlier interventions. It also helps our academic partners at IU more effectively plan future course offerings by analyzing what courses students have planned for future terms based on their degree maps.
So what’s next? We’ll form an implementation team, and work directly with Stellic to create an implementation plan. Planning and development will occur this fall, and then we’ll launch a degree management phase I process in the spring. We’ll more fully implement this software next spring and summer, with the goal of fully launching the degree management functionality on all campuses in fall 2024. Additional module enablement, including advisor tools, scheduling and academic workflows, will also be forthcoming in subsequent months. More information will be shared with key groups and the campus community on a regular basis as we navigate the implementation process.
